How to Record a Microsoft Teams Meeting and Find the Recording

You want to record a Microsoft Teams meeting, but you are not sure where the recording option is, who is allowed to start it, or where the recording is saved afterwards. Some users also expect recordings to appear immediately, then assume the recording is missing while it is still processing.
Recording meetings correctly helps you keep a copy of training sessions, briefings, lessons, presentations, and important discussions.
Solution
Start the recording from the meeting controls if your account and organisation allow it. After the meeting, check the meeting chat, channel, OneDrive, or SharePoint depending on the meeting type. Allow time for the recording to finish processing before assuming it is missing.
Step by step instructions
Join the Teams meeting
Open Microsoft Teams or go to:
Join the meeting from your Teams calendar, Outlook invite, meeting link, or chat.
Make sure you are signed in with the correct work or school account.
Meeting recording is generally controlled by organisation settings, so personal accounts may not have the same recording options.
Start recording during the meeting
Once inside the meeting, open the meeting controls.
Select More or the three dots.
Look for Record and transcribe or Start recording.
Select Start recording.
Teams will notify participants that recording has started.
If you do not see the recording option, your account, role, meeting type, or organisation policy may not allow you to record.
Confirm that recording is running
After starting the recording, check that Teams shows a recording indicator.
You may see a red dot, recording message, or meeting banner.
This confirms the recording has started.
If you do not see any recording indicator, open the More menu again and check whether the option still says Start recording or has changed to Stop recording.
Stop the recording
When the meeting is finished, open the meeting controls.
Select More.
Choose Stop recording.
Confirm if prompted.
If nobody stops the recording manually, Teams may stop it automatically when the meeting ends, depending on meeting behaviour and organisation settings.
Wait for the recording to process
After the recording stops, Teams needs time to process the file.
Processing can take longer for:
- Long meetings
- Meetings with many participants
- Screen sharing sessions
- Poor network conditions
- Busy Microsoft 365 services
- Large recording files
Do not assume the recording is missing immediately after the meeting ends.
Find recordings from normal meetings
For standard scheduled meetings, the recording usually appears in the meeting chat after it has processed.
Open Microsoft Teams.
Go to Chat.
Find the meeting chat.
Look for the recording card or link.
Select the recording to open it.
Depending on your organisation setup, the recording may be stored in the organiser’s OneDrive or another participant’s OneDrive if they started the recording.
Find recordings from channel meetings
If the meeting took place in a Teams channel, the recording is usually connected to that channel.
Open the relevant team.
Open the channel where the meeting happened.
Check the channel posts for the recording link.

If available, select Open in SharePoint.

Share the recording with others
Open the recording from Teams, OneDrive, or SharePoint.
Select Share or Copy link.
Check the permissions before sending the link.
Make sure only the right people can access the recording.
If sharing externally, your organisation must allow external sharing.
Download the recording if allowed
Some organisations allow users to download meeting recordings.
Open the recording.
